Advanced Search

Advanced Search allows users to build complex searches using arbitrary fields.

Advanced Search is a dialog that is accessed from the Quick Search component.


This feature may be disabled by the administrator, in which case the button will not be present.

The Advanced Search dialog encompasses the entire browser's screen, containing two tabs, Advanced Search, and Keyword Search. There is also a saved search panel to the right.


Advanced Search Tab

The Advanced Search tab allows users choose one or more fields, search conditions and values for each field and then clicks "Search" to perform a search.

The user will need to know specifically which fields they wish to search within for this type of search, as it will only return results from the specified field(s).

Advanced searches are composed of one or more lines that contain:

  • A specific field
  • A condition (aka search operator)
  • A value

The search is also affected by the the Criteria Conjunction setting, allowing the user to choose to combine all the search rows together with the AND boolean operator or the OR operator.


Users may add additional lines by clicking the "ADD" link, remove a line by clicking the ([image]) icon , and perform the search by clicking the "Search" button at the bottom.


If users wish to add the search criteria in the Advanced Search tab to the existing search criteria (set prior to entering the Advanced Search dialog), they can click the "Search within results" button. In this way a user can create a complex search by consecutively using this function.

Field Types and Conditions

Each field type has a list of conditions that can be used in searches. These affect how the string entered in the value field will

  • String, Text Area:
    • contains
    • is
    • does not contain
    • is not
    • is null
    • is not null
    • exact phrase
    • at least one word
    • all words
  • Comma Separated Values:
    • contains
    • does not contain
    • is null
    • is not null
  • Date:
    • is
    • is today
    • is after
    • is or is after
    • is after today
    • is at least N days after today
    • is before N days after today
    • is within N days after today
    • is before
    • is or is before
    • is before today
    • is after N days before today

Search Within Results

The "Search within results" button will add its criteria to the current search criteria (with an AND operator), instead of replacing the criteria.

Keyword Search Tab

This tab is used to search the Dublin Core "Keywords" field, and displays a tag cloud of keywords in the system. The user may enter a string, or click a keyword to add that individual value to the search field.


Entering text to search in this field is slightly different than Quick Search; entering a comma (,) will separate the string into two separate values.

This search has a special mode selector, allowing the choice of either "All Keywords" or "Any Keywords". Given a search of (scenic) (sky), "All keywords" will return only those assets that have both scenic and sky in the Keywords field, and "Any Keywords" will return assets that have either scenic or sky.

This search can also be used with the "Search within results" feature.

Saved Search Panel


Using Saved Searches

This panel shows saved searches. The elements of this panel are:

  • A search/filter field, allowing users to filter the displayed saved searches
  • Advanced Search: These are saved advanced searches.
    • Clicking the name of the search will immediately close the Advanced search dialog and perform the saved search.
    • Clicking the magnifying glass icon will load the saved search parameters into the dialog so they may be inspected or altered.
    • Clicking the "X" button will delete the saved search. Saved searches made by another user may not show this icon.
    • Search Status: These are searches saved with the Search Status component as mentioned above. One important difference from Advanced saved searches is that Search Status saved searches record all criteria in Search Status, and they automatically reload selected values in the Search Filter.

Making Saved Searches

  • Advanced Search: Once a set of parameters have been entered, the user may click the "Save" button to save the search. The Save Search dialog is then displayed, see below.
  • Search Status: This is an optional configuration that is enabled by an administrator. See [Search Status] for more information.

Save Search Dialog


This dialog is shown whenever a search is saved.

  • Name: required, the name of the search
  • Description: optional, text description for the search
  • Sharing Settings:
    • Private: the saved search will only be visible the current user.
    • Current Group: the saved search will only be visible the users of the current group.
    • Share with specific Users / Groups: the user may designate users or groups with whom to share the saved search. The "Search or select" field lists users and groups (groups have an icon to the left to differentiate them)
      • Mail: optionally, the user may send an email to the users and groups chosen, and an optional message field to include a message in that email.
